IVECCS attendees and exhibitors must be very careful in dealing with anyone offering hotel rooms for sale except for VECCS.
IVECCS attendees and exhibitors must be very careful in dealing with anyone offering hotel rooms for sale except for VECCS. VECCS is aware that IVECCS conference attendees and exhibitors have been approached by other businesses representing that they have blocks of hotel sleeping rooms for sale. If these businesses do in fact have such room blocks, and they make no misrepresentations in contacting attendees and exhibitors, this practice is legal and VECCS cannot prohibit anyone from doing business with them.
However, to be very clear, VECCS has only contracted with the hotels directly and has not contracted with any other company for room block sales or management. VECCS cannot and will not vouch for the business practices of any other companies offering hotel rooms for VECCS’s conferences. Some of these businesses engage in the following practices that can harm attendees as well as VECCS:
Selling fictitious reservations and credit card fraud: With this practice, conference attendees believe they have made a reservation. However, they arrive at a hotel to find that no reservation was made and their credit cards may have been charged.
Misrepresentations resulting in bookings outside the block: These businesses may misrepresent themselves in many ways in order to entice attendees to book through them. Examples include “bait and switch,” where they sell reservations that are inferior to what was promised (such as further from the conference site), or say that the official hotel blocks are full when they are not.
Trademark infringement: In this case, these businesses will utilize VECCS’s name and trademarks, including logos and conference names, when corresponding with conference attendees in order to make it appear that they are official agents of VECCS or the hotels when they are not.
Unauthorized access, use and selling of data: These businesses may obtain lists of past, current or prospective conference attendees through a variety of means, including unauthorized use of websites or data bases. In some cases, they may also purchase lists from sources that are not authorized to sell the data.
Obtaining inventory through misrepresentation or omission: In many cases, these businesses obtain room inventory by deceiving the hotels or their wholesalers through misrepresentation or failure to disclose their intent.
VECCS negotiates with hotels for blocks of rooms and obtains concessions from hotels if VECCS meets its guaranteed room blocks. Rooms sold through anyone other than VECCS and its official agents may not be credited to VECCS’s room blocks by the hotels, and, if the room blocks do not fill, VECCS could be subject to attrition fees. Book your hotel ONLY through the links provided as VECCS cannot guarantee any reservations booked elsewhere. Please notify VECCS should you be contacted by anyone other than VECCS regarding hotel reservations.

Registration Questions
Do I need to be a VECCS Member to register for IVECCS?
VECCS members receive a substantial discount on registration (along with many other member benefits), however, you do not need to be a member to register. If you’ve never been a VECCS member, you will be given the option to join when you register and can take advantage of the discounted registration rate!

What is included with a Virtual registration?
The virtual registration includes 4 tracks per day (except for the pre-symposium day that is only 1 track) that will be live streamed, during the in-person sessions in Aurora, CO. This means you can watch the live stream via the Show Planner, at the times listed in the program (Mountain Time) and will then be able to view them on-demand for 30 days after the show. There will be no extended access and no refunds will be issued for technical difficulties.

Is there Single Day or Group registration available?
No, each individual will need to register for the entire conference.
What is the cancellation policy?
Cancellation requests received on or before June 30th, 2023 will receive 80% refund or can be changed to a Virtual Registration and refunded the difference.
Cancellation requests received July 1st – July 31st, 2023 will receive 50% refund or can be changed to a Virtual Registration and refunded the difference.
Any cancellation requests received on or after August 1st, 2023 will not be refunded. Registrations can still be changed to Virtual, but no refund will be issued for this change.
VECCS membership dues are non-refundable.

If I can no longer attend, can I substitute my registration to a colleague?
No, substitutions are not allowed and registrations are non-transferable.
How do I make changes to my registration?
To add workshops/labs, networking events and/or add-ons to your registration, click on the button “View/Modify Registration” located in your Registration Confirmation Email. You will need your confirmation number to login.
For session changes or refund requests, please contact the registration support team at [email protected] or call 972-349-5423. A $10 fee will be charged for removing a workshop or lab course. The fee does not apply to add a workshop/lab course or to remove yourself from a waitlist.
After August 1st, 2023, workshops and labs that do not have a waitlist will not be refunded if cancelled. If the spot is filled by someone on the waitlist, you will be refunded minus the $10 change fee. Absolutely no refunds after August 20th, 2023, as course materials will have been distributed.

Continuing Education Questions
How many CE credits can I earn?
In-person attendees can earn up to 43.5 live CE hours and virtual attendees can earn up to 26 live CE hours. 86 CE hours are available on-demand through October 11th, 2023. The IVECCS 2023 Program is subject to change and is pending RACE approval.
How will I get CE credit & my certificate for IVECCS 2023?

Travel Questions
What is the nearest airport?
The closest airport to The Gaylord Rockies Resort and Convention Center is the Denver International Airport (DIA).
Is transportation provided from the airport to the hotel?
The Gaylord Rockies does not provide transportation to and from the airport, however, many transportation options from the airport are available here.
How can I book my hotel room?
The hotel booking link is located in your Registration Confirmation email. Use the link to book at the discounted rate! The group rates are only available until August 13th, 2023 or until the room block is full. The hotel rooms sell out fast so book early to secure your room!

Will food be provided with my registration?
All attendees will receive box lunches on Friday, Saturday and Sunday which will be available for pick up in the Exhibit Hall. Be sure to have your Attendee Lunch Ticket that is in your badge.
You can also attend the Breakfast Lectures or Lunch & Learn sessions in Aurora B that will include complimentary food.
During registration, you will be asked to express any dietary restrictions. This helps VECCS provide the Food & Beverage team with more accurate counts and is used for ordering purposes. Meals are not assigned to your registration. VECCS does our best to provide enough food for different needs.

Where is the Keynote Lecture?
The Keynote lecture will be presented by Temple Grandin in Aurora A on Saturday, Sept. 9th from 1:30pm – 2:30pm.
Do I need to wear my badge?
Yes! Your badge must be worn for admittance into sessions, receptions, the exhibit hall, and any other IVECCS event locations.

How do I access the Proceedings?
All attendees have free online access to the Proceedings via VIN. You will receive login instructions in the weeks prior to the show. Attendees that register after August 20th, 2023 will receive access after the show. You can also purchase a hard copy book or flash drive of the Proceedings as an add-on during registration or on-site at the registration desk (based on availability). Any remaining proceedings books or flash drives after the conference will be available for purchase on the VECCS online store.
